Installing Medical-Objects Trinity (Referral Client) and the PKI iKey for Terminal Services

Overview:

Provide a procedure to install and configure Medical-Objects Trinity to pick up the PKI Token (iKey) through Terminal Server Windows.

Trinity is the electronic referral software available to General Practitioners.

NOTE: If you do not have an IKey or Smart Card you can apply for one at

http://hesa.gov.au/apply.htm


The IKey2000 does not pass its drivers through terminal sessions. There are 2 options for anyone who has an IKey2000 PKI token.

  • The first option is to call Medicare and obtain a Gem Twin PC style USB Card. This type of card is able to pass the token through the terminal session without any issues.
  • The second option is more of a workaround than a proper solution.

The process involves copying the referral text from the terminal window and then using the capture from clipboard option on the Trinity on the local workstation to paste the text into a referral window there. For full installation details and how to use this feature see below.

Medical-Objects Trinity and iKey setup for Terminal services

NOTE: If your iKey was not supplied with drivers. You will be able to find them near the bottom of the download page of our web site.

1. Install the iKey on the local Workstation (not the server or terminal session) this will require a restart before proceeding with the next step


2. Download the latest Trinity Setup from

3. Double click on the referral-setup.exe. The following window will appear

4. Click Run and the new window will appear

5. Click Next


6. Check that the default directory will be OK to use. Click Next

7. The next window will appear, click Install

8. The next window will appear. Check the [ ] Start Referral Client box

9. Click Finish


NOTE: The software can take up to 10 seconds to complete the final stage of the install. Once the software is installed you will observe the Trinity icon in the system tray, shown below.

10. On the workstation plug in your iKey


11. Right click the Trinity icon in the system tray and select from the menu Admin then Edit Configuration


12. The following window will appear. Select PKI Configuration in the left panel

13. Click the Edit Keyring button. The following window will appear

14. The iKey will appear under Tokens displaying the doctor’s name. The iKey is now installed


15. Click OK to close the window. The following window will appear

16. Ignore the Validation Error and click Proceed


17. Perform a LDAP refresh to pick up the CRL and New Certificates

18. Click OK on the Configuration Editor window to complete the installation

Workaround Method for using Trinity on Terminal Session with iKey2000

When using your Word Editing program, make sure your templates have RE: and DOB: included. Having the RE: and DOB acronyms in your template, this will enable the Medical-Objects Referral Client to automatically fill in the patient details and date of birth for you. For this example, Medical-Directors Letter Writer application is used.


1. On the terminal session copy your referral text to the clipboard by selecting on your keyboard Ctrl + A, then Ctrl + C

2. Minimise the terminal session so you are viewing the local workstation


3. The referral client may have already recognised the copied text as a patient referral, and shown a large M icon on the screen, like shown below

4. If so, double-click on the M and you will be presented with an addressing window.

IF NOT – Right click the small Trinity icon on the taskbar and choose Capture from clipboard, as shown below

5. This will also bring up the addressing window


6. The referral client will recognise it as a patient referral, and will open the referral window, like shown below


7. By adding Re: and DOB to your referral template will also pre populate the patient name and date of birth in the referral window

8. Select the Lookup Provider icon shown above


9. Enter the first few letters of the surname of the doctor that you wish to send the report to then press Enter

10. A list will be displayed showing doctors in our system that matches your request

NOTE: Some providers practice at multiple locations, so make sure that the one you select matches your intended recipient.


11. Once you select the provider to send to, you will be asked Send Now?

12. Verify the report is OK, and then click Yes to send


13. You will be required to enter the Passphrase for your PKI token


NOTE: If you do not know this passphrase, check with your practice manager, or preferably call HeSA, as these tokens do become unusable if you enter the password incorrectly too many times.

Trinity (Referral Client) Web Activity Report

NOTE: When you send referrals via the Medical-Objects referral client Trinity you can track the delivery of those referrals using the Web Activity Report. The following Document shows you how to access the delivery report and also how to interpret it.


1. Right click the Trinity icon in the system tray

2. Select View Delivery Report this will display the Web Activity Report in your default browser

3. The following screen shot displays the top part of the Web Activity Report that shows the practice name, computer specifications and where Medical-Objects Capricorn is installed

NOTE: Capricorn is the download program that is installed at your practice and Trinity uses Capricorn as a server to send referrals.

4. The next area of the web report gives you the opportunity to look up past results via the query function. Just enter the required time frame and select Submit Query

5. The following area of the web report looks at the results that have been sent


6. The diagram below shows all outgoing Referrals or Letters

7. The above report shows us the receiving facility Kawana Waters Medical Centre and the date the result arrived at the receiving practice 12.9.2008 at 15.12pm


8. The second yellow box shows when the result was imported into Medical Director 12.09.2008 at 15.31pm


9. The following area of the web report looks at the results that have been received from other facilities


10. As you can see below, the Incoming Messages provide similar acknowledgements as the Sent Results, so you are informed of the complete delivery process

11. Once the result has been received the first acknowledgement is created


12. When the results are imported into practice management software it will show another acknowledgement displayed in the above diagram. Dated at 12.9.2008 15.08
